Privacy policy

This policy explains how Alt (“we”, “us”) handles personal data when you visit our website, book a demo, or when we contact UK immigration practices about our software.

Alt is operational software for immigration casework. It is not legal advice. Authorised advisers remain responsible for advice and representation.

1. Who we are

The controller of personal data described in this policy is the operator of Alt at https://altcase.co.uk/.

Demo and sales contact: via our booking page at Cal.com.

If we incorporate or appoint a different legal entity as controller, we will update this page with the registered name, company number, and address.

2. What this policy covers

  • Visitors to altcase.co.uk
  • People who book a demo or email us
  • Business contacts at UK immigration advice organisations and related practices we may contact about Alt

It does not cover how immigration firms use Alt on their own client files. Client case data stays under the firm’s control and is covered by the firm’s own privacy notice and engagement terms.

3. Data we collect

Website and demos

  • Technical data such as IP address, browser type, device, and pages viewed (if our host or analytics tools record them)
  • Information you submit when booking a demo (name, email, organisation, and any notes you provide)
  • Email content if you write to us

B2B practice contacts

Where we contact immigration practices about Alt, we may process:

  • Organisation name, IAA registration details, authorisation level, and publicly listed address
  • Public business phone numbers and websites
  • Public business email addresses associated with the organisation or its advisers
  • Adviser names and roles where published on official registers
  • Our own notes of outreach status (sent, replied, opted out, not interested)

Primary public source: the Immigration Advice Authority (IAA) adviser register and related official finder information at portal.immigrationadviceauthority.gov.uk.

4. Why we use personal data (UK GDPR)

Where UK PECR rules require consent for electronic marketing (for example certain sole-trader or individual addresses), we will not send marketing email without that consent. We aim to contact organisations at corporate or published business addresses, not personal free-mail inboxes used in a private capacity.

5. Legitimate interests and outreach

We have assessed that contacting IAA-listed organisations about software built for their casework is a legitimate interest, balanced against the limited impact on individuals whose business contact details are already public for professional purposes.

Safeguards we apply:

  • Use publicly available professional register data where possible
  • Keep messages relevant, low volume, and clearly from Alt
  • Identify the data source in outreach where practical
  • Provide a simple way to opt out; we suppress opted-out contacts
  • Do not sell contact lists

An internal legitimate interests assessment is maintained for this outreach. You can ask for a summary by emailing privacy@altcase.co.uk.

6. Cookies and similar tech

Our marketing site is primarily static. We do not run advertising cookies for behavioural ads.

Essential hosting or security logs may process IP addresses. If we add analytics or booking embeds that set non-essential cookies, we will update this policy and, where required, seek consent.

Third-party pages we link to (for example Cal.com for booking) have their own privacy policies.

7. Who we share data with

We use service providers only as needed to operate Alt and this site, for example:

  • Website hosting and CDN (currently Cloudflare)
  • Scheduling (Cal.com) when you book a demo
  • Email or workspace providers if we send or receive mail

Processors act on our instructions. We do not sell personal data. We may disclose data if required by law or to protect rights, safety, or the integrity of our services.

8. International transfers

Some providers may process data outside the UK. Where that happens, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, UK Addendum to the EU SCCs, or an adequacy decision, as applicable.

9. How long we keep data

  • Website logs: typically short periods set by the host, unless needed for security investigation
  • Demo and enquiry correspondence: while the conversation is active, then up to 24 months unless a longer period is needed for a live commercial relationship or legal claim
  • B2B outreach lists: refreshed from public sources; suppression/opt-out records kept longer so we do not contact people who asked us to stop

10. Your rights

Under UK GDPR you may have the right to access, rectify, erase, restrict, or object to processing, and to data portability where applicable. You may also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

To exercise rights or opt out of outreach, email privacy@altcase.co.uk with enough detail for us to find your record. We aim to respond within one month.

11. Children

Alt and this site are aimed at businesses and professionals. We do not knowingly collect data from children.

12. Changes

We may update this policy. The “Last updated” date at the top will change when we do. Material changes will be reflected on this page.
